Projects Support Officer - Local Authority

Job Description

Our client, a local authority based in London is looking for a Projects Support Officer to provide comprehensive range of secretarial, administrative and project support duties for the Major Projects team.


Main duties
1.To organise and attend Portfolio, Programme and Project(s) meetings and workshops including scheduling, agenda planning, preparation, taking and circulating minutes.

2.To maintain the Portfolio contact and communication database.

3.Support the development and production of programme/project management documentation, including business cases, project initiation documents, project plans, briefings, draft recommendations and reports.

4.To monitor the programme plan(s) and risk register(s) notifying risks to the programme manager(s) in a timely fashion.

5.To maintain the Portfolio, Programme and projects library of supporting reports, papers and legal documentation that the Major Projects Portfolio produce.

6.To support the Programme and Project Manager(s) during meetings and events.

7.To assist with the response to the public/other agency/central government queries and questions.

8.To manage and deliver specific programme and project deliverables and products, as instructed and agreed with the programme managers.

9.To undertake periodic research, analyse data and produce accurate reports for the Programme Manager.

10.Undertake general administrative support for the Major Project team, as required

11.Escalate concerns to the Programme Manager in a timely manner

12.Process invoices, challenging and querying invoices with the supplier where they appear to be incorrect or a further breakdown of service charges is required.

13.Working with the Programme and Project Managers on procurement related activities.

14.Maintain the Major Projects Team contracts register and other relevant compliance documentation.

15.Adhere to, and support compliance with, relevant legislation, policies and procedures in supporting the Council's delivery of projects

16.Perform other tasks of a similar nature and responsibility which provide the project team with day to day business support in order to assist their effectiveness and efficiency
