Administrative Officer - Children's Centre

Job Description

Purpose of the post:
*To be a first point of contact for the centre regarding a range of administrative and communication activities and to ensure delivery of a first class office.
*To provide administrative and financial support for the Senior Leadership Team.


Main duties and responsibilities:
*Deal with front line enquiries from staff, students, parents and other agencies.
*Ensure that visitors to the centre are welcomed in a polite, friendly and professional manner.
*To maintain the waiting list of children into the centre, and liaise with the management team in the allocation of places.
*Be the nominated officer responsible for the day to day operation of the nursery/centre registration system in terms of ensuring data is correctly inputted; the efficient retrieval of information and for the timely production of reports from the system.
*To maintain the centres database systems and procedures for the collection of fees, including ordering procurement, invoicing, petty cash, banking and related activities
*Support in the maintenance of the centre databases and recording systems relating to administration and personnel, ensuring that records are up to date, accurate, secure and they comply with the requirements of the data protection act. This will include the filing and updating manually held systems and the input of data into the computer system.
*To answering routine telephone calls and face to face enquires and signing in visitors, as appropriate and the taking and passing on of accurate messages.
*To prepare reports and minutes of meetings as required.
*Process tasks and CPD correspondence such as booking training.
*Maintain stationary supplies and be responsible for stock control, and distribute as required.
*To maintain a signing in and out system for the centre.
*Keep the staff bulletin board up dated.
*Distribute post, and take mail to the Post Office along with any recorded deliveries.
*Support the maintenance of the room bookings system.
